The typical path from customer request to getting paid.

Customer submits a service request

You'll get an email notification. Review the request on your dashboard.

Send an estimate (optional)

Create an estimate with line items from your pricebook. The customer gets an email to approve or decline.

Create a job

Convert the estimate or request into a job. Set a date, assign team members, and the customer gets notified.

Work gets done

Your team clocks in, completes the work, and logs any expenses or photos.

Send an invoice

Create an invoice from the job. Line items carry over from the estimate. Send it to the customer.

Get paid

The customer pays online via the invoice link, or you can record a manual payment (cash, check, etc.).

Quick Booking Shortcut

Need to book a job fast? Use New Booking to skip the estimate step entirely. Pick a customer (or create one), add line items, assign a team member, and schedule it — all in one form. The customer and team members get notified automatically.

Inviting Workers & Customers

There are two ways to bring an employee or a customer into your business — use whichever is easier.

  • Send them an invite. Generate an invite code or send an invite by text or email from the Team page for workers, or the Customers page for customers. They sign up, enter the code or tap the link, and they're in.
  • Or just add their email or phone number. Add the person with their email or phone and stop there — nothing to send, no code to share. Whenever that person signs up for Tradesman using the same email or phone, an Accept invite button for your business is already waiting on their first screen. One tap and they join, linked to the record you created.

Pending invites stay listed on your Team and Customers pages until they're accepted, and you can re-send or cancel one at any time. Workers and customers can belong to more than one business, so your invite still works even if they already use Tradesman with another company.

Managing Your Team

Invite team members by generating an invite code from the Team page. They sign up with the code and instantly join your organization. You can:

  • Assign them to jobs
  • Track their time clock entries
  • See their logged expenses
  • Export time entries to CSV

Managing Customers

Customers can be added manually or invited to create their own account. Once connected, they can submit service requests, view their estimates and invoices, chat with you, and pay online — all from their own dashboard or the mobile app.
